Roll Call
1. A meeting of the Medford Urban Renewal Agency Marketing Committee was called to order at 5:35 p.m., in the Medford Urban Renewal Agency Conference Room, 45 South Holly Street, by Acting Chair Jim Kelly, with the following Members and Staff in attendance:

Minutes
1. Marketing Committee Minutes of May 17, 2006
It was moved, seconded and approved to accept the minutes of the May 17, 2006 Marketing Committee meeting as corrected.

Communication from Staff
1. Evergreen Walk
Staff reported that the grand opening ceremony for Evergreen Way was held on Wednesday, July 12, 2006 called the ?Evergreen Walk?. Jackie Rodgers, Medford Urban Renewal Agency Acting Executive Director, opened the ceremony giving a brief synopsis of the construction of Evergreen Way. Ms. Rodgers introduced City of Medford Mayor, Gary Wheeler; Heart of Medford Association President, Eric Maxwell; Medford Urban Renewal Agency Senior Planner and Evergreen Way Project Manager, Eric Iversen; Medford Urban Renewal Agency Administrative Support Technician, Terri Rozzana; and Passey Advertising, Randy and Nancy Passey. The group gathered at Larson?s Home Furnishings where they received a ?goodie bag? filled with gum, mints, beads, and a car air freshener, were treated to mint chocolate chip ice cream cones and a tour of the newly remodeled facility. The group walked to the next stop, Scan Design, and was given bottled water, chocolate covered coffee beans and a tour of their facility. The next stop was the Acme Building with a tour of the Executive Suites. Cielo Salon and Boutique were gracious hosts, allowing the group tour their beautiful facility. The group proceeded to Redrock Italian Eatery where they were treated to pizza, calamari, ice tea and water, compliments of owner Pamela Shipley. The music band, CORP, provided great entertainment. Evergreen saplings were distributed to all attendees.
Randy Passey stated that Channel 12, KDRV-TV, provided live coverage at 5:00 and 6:00 p.m. and a repeat on the 11:00 p.m. news broadcast. Channel 10, KDRV, briefly mentioned the Evergreen Walk.
2. HMA Report
· Taste of History
Eric Maxwell reported that the second annual ?The Taste of History? event was a huge success.
Bill Dames stated that there were great local wineries represented at ?The Taste of History? event.
A suggestion was made that a shuttle service should be available at next year?s ?The Taste of History? event.
· Brown Bag Lunch Series
Eric Maxwell stated that there has been a good turnout for the Brown Bag Lunch Series.
· Saturday Market
The Saturday Market had a rough start but is improving each week.
· First and Third Friday
Downtown Merchants participate in the First and Third Friday from 4:00 p.m. to 7:00 p.m. The First Friday is focused on ?Fashion, Furniture, and Food? and the Third Friday concentrates on ?All about Art?.
· Sidewalk Sale
The Downtown Sidewalk Sale is July 27, 28, and 29, 2006.
· Winter Holiday Bazaar
The Winter Lights Festival Committee is creating a new two day Holiday Bazaar in Downtown Medford to increase holiday shopping options. The event will be held Friday and Saturday, November 24 and 25, 2006.
Staff inquired whether Eric Maxwell would be available to present a Heart of Medford Association update to the Medford Urban Renewal Agency Board of Directors on Tuesday, August 8, 2006, City Council Chambers at 7:00 p.m. Mr. Maxwell affirmed his availability.
V.
Business
1. Discussion: Reassessment of Downtown Social
Staff discussed the cost analysis of the Downtown Social. Total annual expense for the event is $3,870.48.
Eric Maxwell suggested eliminating the expense of materials, gift certificates, and soft drinks; and to notify interested participants by Email only. Bill Dames concurred that Email is the best notification.
The Marketing Committee discussed that the Downtown Social should be held at different restaurants Downtown, possibly a restaurant circuit. The event should be self-run.
Eric Dames suggested changing the date of the Downtown Social from the first Wednesday of each month to the third Thursday of each month and meeting at Porters for the August event.
It was moved, seconded and approved to change the date of the Downtown Social from the first Wednesday of each month to the third Thursday of each month.
Marty Williams agreed that Porters is a good choice for August.

The August Downtown Social will be held at Porter?s on Thursday, August 17, 2006.
2. Year in Review (FY05-06) and What?s in store? (FY06-07)
Staff reported that the Marketing Budget for Fiscal Year 2006-2007 of $45,000 was approved by the Medford Urban Renewal Agency Budget Committee. Current projected expenditures for Fiscal Year 2006-2007 total $78,870, a difference of $33,870. The Committee discussed options to reduce expenditures.
The Marketing Committee agreed to eliminate staffing, materials, gift certificates and soft drinks expenditures for the Downtown Social.
Randy Passey recommended that Passey Advertising revaluate the expenditures of event photos, media graphics, videos, and media buys and report back at the next Marketing Committee meeting.
Hannelore Rippel suggested eliminating the biannual DownTowner. Discussion followed with ideas for reducing certain aspects of the DownTowner to lower the cost, but not to eliminate the DownTowner since it markets the Downtown and Downtown events. One suggestion was to eliminate The Mail Tribune distribution. Eric Maxwell suggested selling advertising space in the DownTowner. Jim Kelly stated that the Agency is not in the advertising selling business and suggested that sales of advertising should be turned over to Passey Advertising. However, the bill from Passey would review them
Seasonal Light Pole Banners were discussed and concluded in cutting the current budgeted activity from $17,600 to $8,000 and banner installation budgeted activity from $8,000 to $4,000.
The Marketing Committee agreed to eliminate Southern Oregon Travelogue and the full page advertisement in the Ashland Magazine.
Due to the late hour, the Marketing Committee agreed to defer further discussion of the Fiscal Year 2006-2007 Marketing Budget to the next Marketing Committee meeting.
VI.
Announcements
Hannelore Rippel drew the June winner of the $35.00 gift certificate from Norris Shoes, Diane Erickson, Ambus Contemporary Art Gallery.
The next Marketing Committee meeting will be August 16, 2006.
